BËTR Privacy Policy
How BËTR Productions collects, uses, and protects your information, on our website and in our apps. Last updated October 27, 2026.
Who we are
BËTR Productions (“BËTR”, “we”, “us”) is a live-event production company and software maker. This policy explains how we handle information when you visit betrshows.com or contact us through it, and when you use our apps: BËTR Control, BËTR Chat, Hive with its crew and client portals, and the devices we run in show rooms. Questions? Email hello@betrshows.com.
Our website
What we collect
We keep this to what we actually need to answer you and run a useful website:
- Information you give us — when you submit a form: your name, work email, company, phone (if you add it), and whatever you write in the message.
- How you use the site — the pages you view, how long you spend, how far you scroll, the links and buttons you click, the site that referred you, and any campaign tags in the link you arrived from.
- Technical details — your approximate location (from your IP address) and basic device/browser information.
- Cookies and similar storage — see our Cookie Policy for the specifics and how to control them.
How we use it
We use the information above to:
- Respond to your inquiry and prepare a show plan or quote.
- Understand which pages and topics are useful, and improve the site and our marketing.
- Keep the site secure and prevent spam and abuse.
Analytics & how we measure the site
We run our own first-party, cookieless analytics — page views, time on page, scroll, and clicks — to learn what’s useful. This sets no advertising cookies and never shares your browsing with third parties. With your consent we also use Google Analytics, which does set cookies. You can accept or decline at any time from the cookie banner or the “Cookie settings” link in the footer. See our Cookie Policy for details.
Your IP address
We store your IP address only when you submit a form, to help prevent spam and abuse. Our anonymous page analytics do not store your IP address alongside your browsing.
Who we share it with
We do not sell your personal information. We share it only with:
- Service providers that help us run the site and respond to you — for example Google (reCAPTCHA spam protection, and Google Analytics if you consent) and our cloud hosting provider.
- Authorities, if we are legally required to, or to protect our rights and safety.
Our apps
The short version
- We don’t sell your information, and we don’t share it for advertising.
- Our apps show no ads and contain no third-party advertising, analytics, or tracking code.
- We use what’s in the apps to run BËTR’s shows and business, and nothing else.
- Each person sees only what their role needs. Crew see their own rate and pay, never anyone else’s. Clients and room devices never see money.
BËTR Control on iPad
BËTR Control is the operator’s remote for one show room. It has no account and no sign-in, and it asks nothing about you.
- Pairing: you pair the iPad once with the room’s Room Control, our Mac app, by typing the 4-character code Room Control shows. A code works once, for 2 minutes. The app uses the local network only to find Room Control and run the room.
- On the iPad: a security key the app makes for itself, kept in the iPad’s keychain and never sent anywhere, and the names of the room and the Room Control it paired with, so it finds them again.
- To Room Control: the public half of that key, the identifier Apple gives the app on this iPad, the iPad’s model and name, and the app’s version. What you press (start a session, run a timer, switch a camera) goes to Room Control over the room’s own network.
- Out of the room: when Room Control is next online, it registers the iPad with BËTR as a room device, with the public key, the identifier, and the model, not the iPad’s name. The iPad may also check with us that it’s still allowed in the room.
- It never asks for your location, contacts, photos, camera, or microphone, and it shows no money. The demo runs a sample show and reaches no room.
BËTR Chat on iPhone, iPad, Mac, Android, and the web
BËTR Chat is our team chat for staff, crew, clients, and invited guests. You join by invitation; there’s no public sign-up.
- Sign-in: with Google, an email and password, or a passkey, through our own sign-in service. If you choose Google, Google tells us your name and email. Your name and photo in chat are the ones on your Hive profile.
- Messages and files: what you write and share is kept on our own chat server, on Google Cloud, until an admin archives or deletes it. Chat is encrypted in transit and at rest but not end-to-end, so search works across the channels you’re in, and a BËTR admin with server access could technically read it. Guests see only the channels they’re added to.
- Calls: voice and video calls and screen sharing run through our own call server, on Google Cloud. The app uses your camera and microphone only for calls, and only once you allow it.
- GIFs: when you search for a GIF, our server sends your search words to GIPHY, and the GIFs you see load from GIPHY.
- Notifications: if you turn them on, they reach you through Apple’s, Google’s, or your browser’s push service.
Hugh, our AI assistant
Hugh is each person’s own assistant, in a private chat in Hive and BËTR Chat. He’s never in a channel, group chat, or call.
- When you ask Hugh something, your question, your chat with him, the records he looks up for you, and your notes go to Claude, an AI model made by Anthropic, which runs for us on Google Cloud’s Vertex AI. Google Cloud doesn’t use it to train its models.
- He sees only what you can see, and he changes nothing without your OK.
- He can keep notes on your preferences. Only you see them, and in My Hugh you can read, edit, or delete them, or turn memory off. Notes never hold dollar figures, and they’re deleted when your access ends.
- Staff can have Claude read a receipt or document they upload, to suggest how to file it. A person confirms before anything is posted.
Hive, our company workspace
Hive is where BËTR’s staff run the business: clients and deals (our CRM), shows, gear, crew, and the books.
- Clients: names, work emails, phone numbers, and companies of the people we work with, billing and venue addresses, deals, quotes, and invoices. Inquiries from our website arrive here. Only BËTR staff see this, by role.
- Staff: your name, email, photo, and role.
- Who sees what is set by each person’s role and checked on every request. Money is shown only to roles that need it.
- Email from Hive (quotes, invitations, call sheets) goes out through Mailgun from noreply@betrshows.com, with open and click tracking off. Text messages, such as a call for help from a show room, go through Telnyx; reply STOP to stop them.
- Hive and the portals send error reports to Sentry, set not to include personal information.
The crew portal
- What we keep: your name, email, mobile number, home city, state, and ZIP, photo, the roles you work and your rates, union local, the days you can’t work, your offers, calls, hours, and pay history, and your documents (the crew agreement, insurance, certifications). Staff may also rate your work in each role; ratings stay internal.
- Tax and bank details: you give your W-9 and bank details on the form of our bank, Mercury. Hive never asks for or stores your tax number or bank account number, and your 1099 comes from Mercury.
- Who sees your pay: you see your own rate and pay. At BËTR, only staff whose role needs it do, such as the managers who book and run your shows, finance, our accountant, and company admins. Clients and other crew never do.
- Investors and lenders sign in here too, and see only their own figures.
The client portal
- Producers see their own show, and presenters their own sessions. Neither ever sees prices, costs, or crew pay.
- What we keep: your name and email, your sessions, the presentations you upload and their versions, and choices like walk-on music. Presenters can sign in with a code from their show.
- Presentations and recordings are stored with Cloudflare R2; other documents with Google Cloud.
- If your show uses Google Slides, you share your deck with the show’s own address. We read it to show it in the room, and never download, copy, or edit it.
- You can bring a file in from Google Drive or Dropbox; we get only the files you pick.
Devices in show rooms
The Macs, iPads, and controllers in each show room are BËTR’s own, and we manage them. Each holds only its own room’s show data, such as the schedule, presenters’ names, their slides, timers, and the room’s chat channel, and never any money. They run on the room’s own network and sync with BËTR when the venue’s internet is up. Session recordings are stored with Cloudflare R2.
Who we share app information with
The apps send personal information only to these service providers, and only for the job named:
- Google Cloud: hosts our apps, sign-in, chat and call servers, database, and books; runs Claude for Hugh on Vertex AI; and Google sign-in, Drive, and Slides when you choose them.
- Claude, Anthropic’s AI model, running on Google Cloud’s Vertex AI: what you ask Hugh, and documents staff ask it to read.
- Cloudflare: presentations, slides, and recordings.
- Mailgun: the emails we send.
- Telnyx: text messages.
- Apple, Google, and your browser’s push service: notifications.
- GIPHY: GIF search words.
- Sentry: error reports, without personal information.
- Mercury, our bank: crew and vendor payments, and the W-9 and bank details you give on its form.
- ShipStation: the ship-to name, address, and phone on labels for show gear.
- Dropbox: only when you bring a file in from it.
We also share information with authorities if we are legally required to, or to protect our rights and safety.
For both
How long we keep it
We keep form submissions and the resulting contact records for as long as we have a relationship with you or your company, and as needed for our legitimate business and legal purposes. Aggregated, non-identifying analytics may be kept longer. You can ask us to delete your information at any time.
In our apps, chat messages are kept until an admin archives or deletes them, Hugh’s notes until you delete them, and show, crew, and pay records for as long as we work together and tax and accounting law requires.
Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or export your personal information, and to object to or restrict certain uses. You can:
- Accept or decline analytics cookies from the banner or the “Cookie settings” link in the footer.
- Email hello@betrshows.com to access, correct, or delete your information — we’ll respond promptly.
- Control cookies through your browser settings.
- Email hello@betrshows.com to close your BËTR Chat or Hive account, or for a copy of what our apps hold about you.
Security
We use reasonable technical and organizational measures to protect your information. No method of transmission or storage is perfectly secure, but we work to keep your information safe and limit who can access it.
In our apps, every person can add a second sign-in step (a passkey or an authenticator app), and access ends as soon as someone’s role is removed.
Children
This site and our apps are intended for businesses and professionals. They are not directed to children, and we do not knowingly collect information from anyone under 16.
Changes to this policy
We may update this policy from time to time. When we make material changes, we’ll update the “Last updated” date above and, where appropriate, let you know on the site.
Want your information, or want it removed?
Email hello@betrshows.com and a real person will take care of it.
